To make Sahaj more participatory and to create a new way of working, we have created different committees at different levels which make the organisational decision-making more participatory and makes the team members more responsible and involved in the organisational processes.
To make this happen, we have created various committees for different functions of the organisation. At present, we have a Core Committee, a Steering Committee, a Finance committee, a Purchase Committee and a Wages Committee.
Besides, we also have a Monthly meeting with the whole team of the organisation on the 1st day of every month, in which every team member participates. We review our work of the previous month, the success and obstacles we faced during that period and also discuss the ongoing & future projects and programmes.
This committee consists of our senior supervisory team members who are working in different departments. This committee discusses the issues related to their department, how to resolve them and create a better, functional way to work. The committee also reviews the ongoing work, take stock of the present work-in-production, stores, quality control, training, village institution and Sales & Marketing.
The members prepare a report and discuss issues with their respective teams. They also present the future plan and work on crucial aspects of ongoing/future projects/orders. The proceedings of the meetings are minuted and read out in the following meeting. This committee meets twice a month.
This is a small committee of the senior-most level team members who are in the leadership role at Sahaj. The committee meets twice a month, or more if required. This committee takes decisions on various functions of the organisation and is also a training ground for the members who would take up the responsibilities and lead the next generation at Sahaj.
The members take up responsibilities to plan, execute, monitor and evaluate various tasks carried out at Sahaj. Sahaj has detailed policies on personal, administrative, purchase, accounting and production. This committee follows the guidelines and rules mentioned in these policies.
This committee looks after the financial matters of Sahaj, and also keeps check on the resource management, costing, cash flow, accounting of the organisation and financial reports required for institutions, government departments and funding organisations.
They also review the requirements to be furnished to various agencies and legal matters on finance. The committee meets every quarter and reviews the financial status of Sahaj. The members of this committee include the Managing Trustee, COO, Internal auditor and accountant of Sahaj.
This committee consists of team members from Production, Design and Administration departments. They meet every week and discuss the requirements of raw material, stationery and other materials required for office use, based on the production planning and requests made by other departments.
They also communicate & coordinate with the suppliers and prepare a detailed purchase list and put up for order. They also search for new suppliers. Sahaj has a written purchase policy and guidelines, which is the base of functioning of this committee.
Sahaj believes in paying fair wages to the artisans. Hence, this committee was formed in order to evaluate & monitor the production & the wages arising thereof. Heads of Production, Design and Village Institution departments are the members of this committee. They meet every quarter, and their primary objective is to look in to the wages of newly designed products and review the production of the existing products. They study the costing and calculate the labour involved.
They also look in to the time consumption of the artisans to better evaluate the cost & wages. They also discuss with the artisans and takes their views in to account about the wages they earn. The team also reviews the skills of the artisans and recommends Skill Up-gradation training to the artisans. This makes the Sahaj Wages Structure more responsive to the artisans.
